What Are Business & Corporate Notary Services?
Business and corporate notary services involve performing authorized notarial acts for documents connected to a company, organization, professional practice, or commercial transaction.
Depending on the document, the notary may verify the identity of the individual signing, take an acknowledgment, administer an oath or affirmation, or witness a signature. When someone signs on behalf of a business, the notarial certificate may identify the representative capacity in which that person appeared.
The notary verifies the individual signer’s identity and completes the requested notarial act but does not independently determine whether that individual has authority to bind the company or whether the underlying transaction is legally valid.

When Do You Need Business Notary Services?
Not every business document requires notarization. A document may call for it because of applicable law, the terms of a transaction, or the requirements of the organization receiving it.
Business notary service may be right for you if:
-
Your document contains a notarial certificate
-
A recipient requires a notarized signature
-
An owner, officer, manager, or authorized representative must sign
-
An affidavit or sworn statement requires an oath
-
Multiple business representatives must participate
-
Documents must be signed at your office
-
Your company needs recurring notary appointments
-
Printing, scanning, or document delivery is required
-
Your matter is confidential or time-sensitive
-
You need evening, weekend, or expedited availability
If you are unsure whether a document requires notarization or which notarial act is needed, confirm with the document preparer, receiving organization, or an attorney.

How the Process Works
1. Submit Your Appointment Request
Provide the document type, number of signers, number of requested notarizations, appointment location, and preferred date and time.
2. Confirm the Appointment Requirements
Let us know whether the signing involves business representatives, multiple documents, witnesses, printing, scanning, online notarization, or document delivery.
3. Prepare the Documents and Signers
Documents should be complete, without blanks that could affect the transaction, but remain unsigned wherever the signature must be witnessed or acknowledged before the notary. Each signer should bring acceptable identification.
4. Complete the Notarization
The notary meets with each signer, verifies identity, confirms willingness, and completes the notarial act identified by the document or selected by an authorized party.
5. Receive or Return Your Completed Documents
Completed documents are returned to the appropriate party. Scan-back, shipping, or local delivery services may be arranged in advance.

Frequently Asked Questions (FAQ)
What business documents can Nest Notary notarize?
Nest Notary can perform authorized notarial acts for properly prepared business and corporate documents when the requested notarization is permitted under Texas law. The document should contain the appropriate notarial certificate or the signer must receive direction from the document preparer, recipient, or an attorney regarding the notarial act required.
Does every business contract need to be notarized?
No. Many business contracts do not require notarization. Whether notarization is necessary depends on the document, applicable law, transaction, and receiving party’s requirements. A notary cannot determine whether notarization is legally required for your particular document.
Can an employee or company representative sign on behalf of a business?
A person may appear before the notary and sign in a representative capacity when appropriate. However, the notary does not grant that authority or independently determine whether the signer is legally authorized to bind the company. Questions about signing authority should be directed to the company, document preparer, or an attorney.
Does the notary verify the signer’s corporate title or authority?
A notary verifies the identity of the person appearing and accurately completes the notarial certificate. The notary does not independently investigate or certify the signer’s authority to act for the company unless a specific legal procedure requires otherwise.
Must the business owner appear before the notary?
Not necessarily. The individual whose signature is being notarized must personally appear before the notary. If an authorized officer, manager, employee, or agent is signing, that individual must appear and provide acceptable identification.
Can the notary choose the correct notarial certificate?
No. A Texas notary who is not an attorney cannot select the type of notarization for a customer. The document preparer, receiving party, signer, or an attorney must identify whether an acknowledgment, jurat, or another authorized act is required. Texas Secretary of State guidance
What identification will each signer need?
Texas law permits an acknowledging signer to be identified through acceptable identification or other methods authorized by law. As a practical business policy, Nest Notary generally requests a current government-issued photo ID. Contact us before the appointment if a signer does not have standard identification so the available lawful options can be discussed without guaranteeing acceptance.
Should the documents be signed before the appointment?
For an acknowledgment, a document may have been signed previously, but the signer must personally appear and acknowledge executing it for the purposes stated. For a jurat or verification on oath, the signer must sign in the notary’s presence and take an oath or affirmation. If you are uncertain which act applies, obtain instructions before the appointment. Texas Civil Practice and Remedies Code, Chapter 121
Can Nest Notary notarize documents for an employer or company that has an interest in the transaction?
Texas law does not automatically disqualify a notary solely because the notary is employed by a corporation that has an interest in the document. However, a notary should not perform a notarization when the notary is a party to or has a disqualifying financial or beneficial interest in the transaction. The circumstances of each transaction matter. Texas Secretary of State guidance
Can you notarize an employment eligibility Form I-9?
Not as a notarial act. Form I-9 does not contain a notarial certificate, and Texas law does not authorize a notary to certify it in the capacity of a notary public. An organization may separately designate an authorized representative to complete the employer-review portion, but that is not a notarization and should not involve use of the notarial seal. Texas Secretary of State guidance
Can you certify a copy of a business document?
A Texas notary may certify a copy of certain non-recordable documents. A notary may not certify copies of documents recordable in public records, including birth certificates, marriage licenses, death certificates, and divorce decrees. Certified copies of public records must be obtained from the appropriate issuing or recording authority. Texas Secretary of State guidance
Can you notarize documents related to real estate?
Yes, when the document and requested notarial act are permitted under Texas law. Additional journal information is required when a document conveys or transfers land, including information concerning the original grantee and the county where the property is located.
Can several employees or representatives sign during one appointment?
Yes. Each person whose signature requires notarization must personally appear, present acceptable identification, and complete the required notarial act. Please provide the number of signers and documents in advance so sufficient time can be reserved.
Can you come to our office?
Yes. Nest Notary offers mobile appointments at business offices and other agreed-upon locations throughout the Dallas–Fort Worth Metroplex. Travel availability and fees depend on the location and appointment requirements.
Can business documents be notarized online?
Eligible electronic documents may be completed through Remote Online Notarization when all Texas requirements are met and the recipient accepts the electronic document and online notarization. The signer and document location should be disclosed when scheduling.
Do you provide recurring notary services?
Recurring or scheduled business notary support may be arranged based on appointment volume, location, service requirements, and availability.
Can you print, scan, or deliver our documents?
Yes. Printing, scan-back, shipping coordination, and local document delivery may be arranged in advance. These are separate convenience services and not part of the official notarial act.
Can Nest Notary review or prepare our business documents?
Nest Notary can review documents for practical appointment details, such as the number of signers, visible notarial certificates, and printing requirements. A non-attorney notary cannot draft legal documents, interpret their terms, advise a company about signing authority, or determine whether a transaction is legally sufficient.
Are same-day or after-hours appointments available?
Same-day, evening, weekend, and expedited appointments may be available based on location, document readiness, and scheduling. Additional service and travel fees may apply.
After-hours mobile appointments are currently limited to eligible locations within the DFW Metroplex.
How much do business notary services cost?
Texas limits the fee charged for each official notarial act. Any travel, printing, scanning, delivery, after-hours, or administrative service fees are separate and will be disclosed before the appointment is confirmed. Texas Secretary of State guidance
